Backup Your Backups — We Mean It

There is no single best hard drive. A single drive can no longer guarantee safe storage forever. In this post we share practical backup advice from the front line of data recovery — including a critical warning about hardware-encrypted external drives that catches many people out.

Being in the data recovery industry, we are often asked: which is the best hard disk to store data? The only honest answer is — there is no single best drive. A single drive can no longer guarantee safe storage forever. Our answer is always: keep multiple copies of your data, or use a multi-drive storage unit such as RAID1, RAID5, or RAID6.

Backup your data regularly. This is something everyone says, but we would add one important qualifier: back up in a format that you can actually access without significant downtime when you need it. A backup you cannot restore from is not a backup.

What to back up: do not forget to select all critical data files and folders, including hidden Outlook PST/OST files, pictures, desktop, and documents. It is good practice to save the entire user profile from the location C:\Users\[Username].

A critical warning about hardware-encrypted external drives: some bundled backup software enables hardware encryption by default. If so, make sure you back up the decryption key and password to a location other than the drive itself. We have encountered many people who lost access to their backed-up data when the host PC containing the decryption key was no longer available. A burnt controller in the external drive can make your data permanently inaccessible. If you do not need encryption, do not enable it. If you do need it, use software-based encryption which is more portable and reliable.

Test your backups occasionally. A study by Kroll Ontrack revealed that around 35% of people who seek data recovery services do have backups — but they either did not verify what was being backed up, whether the backup was completing properly, or whether the backed-up files could actually be restored. A backup you have never tested is an assumption, not a guarantee.
